Media library: your pictures and videos

The media library holds your own pictures and videos: product shots, team photos, a short film of your workshop. Upload them once and use them in any project in the workspace by choosing them in the Studio's prompt box. Each project's Media tab then lets you swap what a site shows, without using credits.

One library per workspace

Every project in a workspace shares one library, so a photo uploaded while working on one site can go on another the next day. Libraries aren't shared between workspaces: a media link copied from a different workspace is refused, and the studio asks you to copy it again from your own.

Uploading and placing items needs an Owner, Admin or Editor. Viewers can't make changes, so they don't see the prompt box.

What you can upload

KindFormatsLargest file
PicturesJPEG, PNG or WebPUnder 25 MB
VideosMP4 or WebMUnder 250 MB, and under 5 minutes long
  • Videos are kept and served exactly as uploaded, never converted. A smaller file loads faster for visitors, so export at the size the site needs.
  • Your browser reads each video before it uploads. If it can't play the file, the upload stops and asks you to export it as an MP4 (H.264).
  • A video's poster, the still shown before it plays, is taken from its first second.
  • Everything in the library counts towards your plan's storage.

Open the library and upload

  1. Open a built project's Studio

    Where: Studio

The library lives in the prompt box of a project that has been built. It isn't offered in the New project brief, or while a first build waits for you at an approval step.

  2. Click Add from your media

    Where: Prompt box

It's the pictures icon in the prompt box. Choose from your media opens.

  3. Upload

    Where: Choose from your media

Click Upload and pick files, or drag them onto the window and let go when it says Drop to upload. Add several at once if you like; each gets its own progress bar.

  4. Find it in the grid

    Where: Choose from your media

A finished upload appears first in the grid. Videos show their length.

All, Pictures and Videos filter the grid, and the bar beside them shows how much of your workspace's storage is in use. The grid shows a page at a time; Show more loads the next.

  • Every site's pictures too. Besides your uploads, the grid holds the pictures and videos on every site in the workspace, each tile saying where it is from. Choosing one from a site adds it to your library first.
  • From narrows the grid to Library and every site, Library only, or one project.
  • Search names and descriptions finds items by their file name or by what they show.

The same window opens wherever the studio asks for a picture: Choose from library for a site's logo and favicon in Settings, picture fields in the Database tab, and Picture in the image editor.

Use an item in a change

Choosing an item doesn't place it straight away. Its link goes into your message, and you say where it goes, as with any other change.

  1. Choose the item

    Where: Choose from your media

Click it. The window closes and the item's link appears at the end of your message.

  2. Say where it goes

    Where: Prompt box

Name the page and the spot, for example “as the background of the hero”. For a picture, say what it shows if that matters to the page.

  3. Send

    Where: Send

It's built and published as a change: a hold of 5 credits, charged for the work it takes.

A change requestA florist in Edinburgh

Use (media link) as the hero background on the home page, and put (media link) on the Weddings page under the first paragraph, playing muted on a loop.

Both appear in the next published version. The Media tab then lists them, each marked as coming from the florist's media.

See what a site shows

A project's Media tab opens on On the site, which lists every picture and video the site shows as last published, hero first. Each card gives the picture's description, where it sits (the home page, say, or a named section) and, for items from your library, which one it came from. Designs, beside it, holds what you make in the image editor.

Replace a picture or video for free

  1. Pick what to swap

    Where: Media tab

    Click Replace on the card.

  2. Choose the new one

    Where: Choose the new picture

Your library opens, showing only the same kind: pictures for a picture, videos for a video. Pick one, or upload it there.

  3. Say what it shows

    Where: What it shows

Required for a picture, since screen readers and search engines read it. Optional for a video: a background video needs none.

  4. Replace and publish

    Where: Replace and publish

The new item takes the old one's place everywhere on the site, and the site is published again. You're taken to the Studio to watch it.

  • No credits are used.
  • Versions in the Studio can undo it.
  • It can't start while the site is building or while an A/B test is running on it.
  • If the item you chose is already elsewhere on the site, the dialog warns that it will show twice.
A swapA café's autumn menu

Moor Lane Café uploads a photo of its autumn menu and replaces the summer one on the home page. What it shows: Pumpkin soup, sourdough and a flat white on an oak table.

The site is published again with the new photo and no credits used. If they change their minds, Versions brings the summer photo back.

Organising your library

The library is a single grid, newest first, with the filters and the search above it. There are no folders and items can't be renamed, but each of your own uploads has a Details button: it shows the item with its size and date, Used on (every site that uses it, and how), Use this, and Delete. Delete asks first. Sites that show the item on their pages keep their own copy, so their pages don't change, but it leaves your library for good. A site's logo or favicon can't be deleted until you choose another in that site's settings. Uploads that never finished are cleared after a day, so a dropped connection doesn't leave half a file counting against your storage.

Each site keeps its own copy of what was placed on it, so a published page never depends on the library item it came from.

  • Name files before you upload. The file's name is what the grid shows and what the Media tab names as the source, so bakery-shopfront-autumn.jpg saves you guessing later where IMG_4021.jpg doesn't.
  • Upload what you'll use. Every upload uses storage until you delete it. Trim a video to the seconds you need before uploading it.
  • Keep originals elsewhere. The library is for placing pictures on sites, not for archiving a whole photo shoot.

How the library uses your storage

Library items count towards the one storage allowance your workspace shares with every project's files, site pictures, databases and backups. If an upload would go past it, it stops with a message naming your plan's storage and suggesting you delete something or move to a larger plan. Storage shows where the space goes.

What's the difference between attaching a picture and using the library?

A picture attached with the prompt box's attach button belongs to that one message. A library item can be used again in any project in the workspace, and swapped later with Replace.

Does Replace cost credits?

No. It places the new item and publishes again without any building work.

Can I use library items in a brand new project?

Not in the first brief. Build the site, then add them from the Studio as a change.
